Who this notice is for

This notice is for people who use Invoicetastic, join a workspace, receive a document or portal link created through the product, contact us, or report a platform concern.

Some document content is entered by the sender. A sender may also have its own privacy obligations for client or recipient data it puts into Invoicetastic.

Information we handle

Depending on how you interact with Invoicetastic, we may handle:

  • Account and sign-in information, such as your name, email address, authentication state, and security settings.
  • Workspace and business information, such as company details, team membership, branding assets, and invoice defaults.
  • Document, client, and project information entered into invoices, quotes, templates, payment instructions, notes, budgets, linked records, and related workflow history.
  • Expense information, such as supplier, category, date, amount, tax, currency, payment/reference details, billable status, linked client/project/document records, receipt files, generated thumbnails, and OCR-ready metadata where those fields are used.
  • Billing and payment-related records needed to manage subscriptions or invoice payment flows, including provider references where a payment provider is involved.
  • Support, privacy, abuse, fraud, and security-report information you send to us.
  • Technical information needed to operate and protect the service, such as session state, browser-storage preferences, operational logs, and security or fraud signals.

Why we use information

We use information to provide accounts and workspaces, create and deliver documents, manage clients, projects, expenses, recurring schedules, reports, accountant exports, billing and payment-related workflows, keep the service secure, prevent abuse, respond to support or privacy requests, and meet legal or operational obligations that apply to the service.

Who information may be shared with

Invoicetastic may need service providers for hosting, storage, email delivery, billing, payment workflows, and operational support. Information may also be shared where required to comply with law, protect the service, investigate abuse, or respond to a valid request.

Retention, export, and deletion

Different records have different jobs. Account access data, security logs, financial documents, projects, expenses, receipt evidence, support messages, and fraud or abuse evidence should not all be treated as one bucket.

Exports and deletion reviews need to account for linked records. For example, an invoice line may refer to a billable expense, an expense may belong to a project, and a receipt may support accounting records that cannot be erased immediately.

Where deletion is requested, some records may still need to be kept for legal, security, fraud-prevention, or accounting reasons.

Your choices and rights

You can manage product choices through the settings available to your account and workspace. Depending on your location and the context of the data, you may also have rights to ask for access, correction, deletion, restriction, portability, or objection.

Cookies and browser storage

Invoicetastic uses cookies and browser storage for service state, preferences, and editor resilience. The current storage inventory is described on the Cookies and Browser Storage page.
